Job Summary

The Public Support Administrative Specialist position is responsible for providing programmatic and clerical support to the Director of Public Support Programs and staff.

Essential Duties and Responsibilities

  1. Has complete working knowledge of the MFIP program including requirements of the participant and state rules and regulations.
  2. Provides administrative support to the Director of Public Support Programs
  3. Prepares and maintains confidential consumer files adhering to the MN Data Practices Act.
  4. Issues and records vouchers for participant support, disseminates documentation and reports as needed.
  5. Monitors and documents consumer progress.
  6. Performs clerical functions as necessary for the counselors and provides case aid duties to the SNAP Program and MFIP Job counselors.
  7. Arranges for cab rides, completes and processes all support vouchers, billings and invoices, and maintains numerous budget data bases.
  8. Answers and directs phone calls, greets customers, copies paperwork and scans documents into EDS.
  9. Is responsible for the purging / destruction of old files following the DHS timetable.
  10. Prepares and distributes reports in a timely manner; monthly and as requested by staff.
  11. Maintains the Workforce One system and enters participant enrollment, activities, and outcomes in Blue Earth County as needed and as requested.
  12. Creates and maintains various forms, brochures, databases, and spreadsheets and trains staff on the proper use.
  13. Provides back up for resume design for participants.
  14. Develops and implements curriculum for training/classes for participants or assists with training/classes on occasion.
  15. Provides technical support to staff regarding computer and printer issues/problems. If problem requires outside intervention, contact is made to the appropriate IT staff at MRCI for resolution.
  16. Orders office supplies and keeps orientation folders and other packets processed and up to date.
  17. Performs all other duties as assigned by supervisor.

Minimum Qualifications

Education/Experience
  • A high school diploma or equivalent is required. Additional training or certification in computer programs and applications, help desk or programming is desirable.
  • At least two years of related experience as well as good interpersonal communication skills.
Knowledge, Skills and Abilities

  • Extensive experience with Microsoft Office products and demonstrates proficiency in Workforce One system.
  • Must be able to work independently, follow directions, be able to manage time well and perform multiple assignments at once while maintaining a professional demeanor.
  • Be able to maintain accurate records and have well-established reading and writing skills.
  • Possess excellent customer service skills and demonstrate ability to communicate effectively with others.
  • Hold a valid Driver’s License and have access to reliable transportation.
  • Clear a MN Department of Human Services background check.
